Book Editing And Proofreading Your Manuscript Professionally
Experienced book editors and proofreaders are very much in demand because they are people who are extremely well-versed in the nuances of punctuation, grammar, spelling, diction and style. They also have the capacity to concentrate exclusively on proofreading a manuscript or document. So, what are the tricks that are used by a professional proofreader for editing books and manuscripts?
First of all, he uses his knowledge of grammar and spelling to correct errors in the manuscript or document. He definitely does not rely upon spellcheckers. So, the moment you want to start editing something carefully, print it out. If you are editing directly on the screen itself, you are going to be surprised to see that the text looks different on the screen and therefore your eyes may overlook a mistake, because you did not notice it. However, when the information is in front of you in print, you can read and reread that sentence out aloud to “hear” whether it sounded right. Now, please go back two sentences. Read the sentence that starts “If you are editing directly….” It is more than three lines long, without a break. It is more difficult to notice this on the screen. You can notice the length of the line when it is in print. That is the reason why many professional proofreaders and book editors ask for a physical hardcopy of your manuscript beforehand.
If you want to become a professional book editor or proofreader, go back to the kindergarten. Read your lessons out aloud. This is a procedure that is followed by a large number of professional book editors and proofreaders, because they want to hear what the sentence sounds like, rather than what it looks like on paper. Not only are you using your hearing faculty, but you are also using your sight to identify potential mistakes in the document. Something does not “sound” right in the following sentence: “She wanted him talk about this matter before it was taken to court; that was the reason why, she decided to try out all her arsenal of while and guile on that poor unsuspecting fall guy, her credulous husband!” If you have not found the spelling mistakes and the grammatical mistakes in the sentence given above, you might want to make the sentence shorter and easier to read.
Good book editors like sentences that are not more than one and a half lines long. Future readers are going to lose interest in books using the Barbara Cartland style of writing fiction: one paragraph of three lines to four lines made up of just one sentence, without any break. For example, make sure that your Manuscript does not have sentences like this: “She must have nerved herself to the point of desperation to attempt the act which he had prevented her from executing, and it had left her very pale with two small patches of rouge standing out vividly against the whiteness of her pale skin.” (Whew!) So point 2 of good book editing: keep the sentences short and sweet!
